Exhibition freight is defined by a date that cannot slip. The stand has to be on the floor during the build-up window, and a shipment that clears the day after the show opens has failed regardless of what it cost. Everything in the plan works backwards from the venue's build-up schedule.
That changes how the shipment is booked. Cut-off times, document readiness and clearance preparation matter far more than the freight rate, and buffer is built in deliberately rather than assumed. Where the timeline is genuinely tight, air freight into DXB or DWC is often the only responsible recommendation even when sea freight would have been cheaper.
Venues also impose their own delivery windows, access rules and appointed on-site handling contractors. Those are confirmed against the organiser's shipping manual before the booking, because a truck arriving outside its slot may simply not be admitted.
Temporary admission for exhibition goods
Most exhibition cargo enters the UAE temporarily and leaves again after the show, which is a different customs treatment from an ordinary import. Temporary admission allows goods to enter for a defined period against a security or guarantee, on the basis that they will be re-exported in the same condition.
The distinction matters within a single consignment. A modular stand, lighting rig and demonstration machine are going home; brochures, giveaways, samples that will be handed out and anything consumed on the stand are not. Those are two different customs positions, and separating them on the packing list at origin is far easier than separating them at the terminal.
Goods sold from the stand or left in the country change position again and need to be regularised before the temporary admission is closed. Telling us at planning stage what is likely to stay avoids a reconciliation problem after the show has closed.
Split the packing list before shipping, into:
- Stand structure, fittings, lighting and AV — returning after the show
- Demonstration equipment and machinery — returning after the show
- Brochures, catalogues and printed marketing material — normally consumed
- Giveaways, samples and promotional items — normally consumed
- Anything intended for sale or to be left in the UAE — declare separately
Venue delivery and on-site handling
Delivery is coordinated against the organiser's build-up schedule and the venue's access rules, including delivery slots, permitted vehicle types, loading bay allocation and any appointed on-site handling contractor the organiser requires exhibitors to use.
On-site scope can include delivery to the stand position, unpacking, removal and storage of empty cases during the show, and return of those cases for the breakdown. Empty case storage is a small detail that becomes a large problem when it has not been arranged — there is rarely anywhere on a show floor to keep them.
After the show, cargo is collected during the breakdown window, repacked, and returned under the temporary admission or shipped onward to the next event.
Return shipping and multi-event tours
Return freight is planned at the same time as the outbound leg, not afterwards. The re-export has to close the temporary admission correctly, and doing that on schedule is what keeps the guarantee from being called.
Where a stand tours several exhibitions, the cargo can be moved between venues, stored between shows or returned to origin between legs. Which of those is cheaper depends on the gap between events and on the customs position in each country, and it is worth deciding at the start of the tour rather than after the first show.
